The dean of the Graduate School confirms the departmental graduate coordinator upon recommendation and approval by the department head and the academic dean of that unit. The graduate coordinator is an appointed member of the Graduate Program Faculty and serves as the liaison between the department and the Graduate School with delegated authority of the department head. It is the responsibility of the graduate coordinator to implement all policies and procedures of the Graduate Council pertaining to graduate education at The University of Georgia. Furthermore, the graduate coordinator works in conjunction with the graduate program faculty of the department to ensure that policies and procedures unique to the department are followed.

The Graduate Coordinator’s Handbook is provided as a supplement to the Graduate School Bulletin and is to be used in the interpretation of the procedures and policies approved and established by the Graduate Council. It should be emphasized that this handbook is not intended to duplicate material provided in other published documents. Graduate coordinators should continue to refer to the Graduate School Bulletin for all policy and procedural matters.

Notifications

The announcement notifications MUST be submitted by your graduate coordinator.

Announcement of Doctoral Oral Comprehensive Exam The announcement must come from the graduate coordinator’s office at least two weeks prior to the exam. The student must be registered for the appropriate number of hours prior to the exam. There must be an approved Advisory Committee form and an approved Final Program of Study form on file with the Graduate School prior to this announcement. All members of the Advisory Committee must be present for the entire exam. The Graduate School must be notified if the exam is postponed or the student fails the exam. Announcement of Doctoral Defense of the Dissertation: The announcement must come from the graduate coordinator’s office at least two weeks prior to the exam. The student must be registered for the appropriate number of hours prior to the defense. The Graduate School must be notified if the exam is postponed or the student fails the exam.

Procedure for Appointing a Graduate Coordinator
  1. The department head writes a letter addressed to the dean of their school/college requesting the appointment or replacement of a graduate coordinator. The letter will include the faculty member’s name and the starting date of the appointment.
  2. The letter should include the following contact information about the incoming graduate coordinator:
    • Telephone number to be used by Graduate School staff
    • E-mail address for all e-mail correspondence
  3. The school/college dean signs off on the letter and electronically submits the letter to the graduate dean’s office
  4. A letter from the graduate dean is written to the new graduate coordinator confirming their appointment.
